User Profile

The user profile determines which record in PCR Educator the user is granted access to. Note: While rare, a user is not required to be associated with a record in the user profile. For the most part, every user will have a Student, Household, or Staff association. Note: Multiple users can be associated with the same record. This usually only occurs for testing purposes. Example: Testing (Re) Enrollment Contract.

Full Name is a name for your convenience. Since many usernames are an email address or otherwise incomprehensible, this name provides clarity regarding who the user is.

Alternate Id is typically used for imports or synching with other systems.

Staff is the staff record the user has access to. The staff association is determined by the Household and Household Indicator: the indicator points at a contact in the household, and when that contact is a staff member, the profile displays that staff record and saves the association automatically. To connect a user to a staff member, select the staff member's Staff Household and the Household Indicator for their contact. For users that are not associated with a household, the Staff record can be selected directly.

Household is the household record that the user has access to.

Household Indicator is the individual contact within the household the user has access to. Note: This must be accurately specified for Web Services to operate correctly.

Student is the student record the user has access to.

Note: A typical student user has only a Student record associated. A single user can also be a student and a staff member at the same time, and an of-age student in their own household carries both the Student and Household records. In that case the household lists the student as its Self contact.

Note: Saving the profile refreshes the staff association from the household contact, so saving is also the way to repair a profile whose staff association is out of date. If the expected staff record does not appear after selecting the household and indicator, the staff member is linked to a different household or contact. Link the staff member to the correct household on the Staff Household page, or use the Merge Household Multi-action to combine a staff household and a parent household into one household record.
