Health Visit Check Out is a notification trigger that emails the teacher whose class a student is returning to when the student is checked out of a health visit. Schools use it so that the receiving teacher knows a student has been released from the health office, the counseling office, or a therapist visit.

The trigger sends as soon as the visit is saved with a Time Out value, from either the health visit page or the visit edit window. It does not wait for the overnight send that most notification triggers use.

Recipients come from the student's schedule: the teacher of the section the student is scheduled into at the recorded Time Out, for students with a current enrollment. When that section has a second teacher, both teachers receive the email. A Merge Filter is not offered for this trigger, because the health visit supplies the record.

Each teacher receives one email per visit. Editing the visit afterwards, including correcting the check-out time, does not send a second email.

No email is sent when the check-out time falls outside a scheduled section, which covers lunch, a free period, before and after school, and any day that is not an attendance day for the student's school. A student released exactly at a section's start time counts as returning to that section. A student released exactly at a section's end time does not. No attendance record is created in any case.

Important fields:

Category: Health Visit Check Out.

Recipient / Data Relationship: Teacher/Health Visit. This is the only relationship offered for this trigger.

Email Template (Health Visit): Lists the templates whose merge type is Health Visit. Create one from the Health Visits list using the Email Merge multi-action before creating the trigger, so that the list has an entry to choose.

Require Opt In: Leave this cleared. Classroom teachers do not hold an opt in for this trigger, so selecting it stops the email entirely.

Note: The template decides how much the teacher sees. A health visit record holds the visit type, the reason, the assessment, and the nurse comments, and a template written for parent communication can place that text in front of a classroom teacher. PCR Educator recommends a template for this trigger that merges only the student name, the date, and the time the student was released.

Note: Health visits loaded through an import do not send this email.

To create a Notification Trigger, follow the steps of Creating Notification Trigger.
