Field Layout

Posted October 13, 2026
A field layout is a named set of fields that a school hides on one Campus form, such as the health visit or a student's Main Info, for the users and roles it is given to.  Users with the Security Full role find field layouts under Security > Maintenance > Field Layouts.  Users with a Full role on the form's own module, for example Health Full for the health visit, open them from the gear on the form.

Which layout a person sees
Each form uses one layout per person, chosen in this order:
- A layout given to the person directly.
- Otherwise, the layout given to their role.  When a person holds several roles that each have a layout on the form, a field is hidden only if every one of those layouts hides it.
- Otherwise, the layout marked Default for everyone else on that form.
- Otherwise, every field shows.  A school with no field layouts sees every form in full.

Fields that always show
- A field that already holds a value on the record shows, whatever the layout says, so everything recorded stays in view.
- A required field shows, so the form can always be saved.  The layout editor marks it (required).
- A few fields cannot be hidden on their form.  The layout editor marks them (always shown on this form).

Who manages field layouts
- Users with a Full role on the form's module create, change and delete that form's layouts.
- Users with the Security Full role choose which users and roles use each layout, and can manage the layouts of any form.
- Users with Security Full and the module's Full role do both from the same page.

Where to find a form's layouts
- The gear at the top right of the form's heading, shown to the users who manage that form's layouts.
- Security > Maintenance > Field Layouts, which lists every form with a Form list.
- Health > Maintenance > Visit Layouts for the health visit.
- Admissions > Maintenance > Inquiry Layouts for the inquiry's Details tab.

A visit template can also carry a field layout, so that applying the template brings up the fields that kind of visit needs.  See Configuring Field Layout.

Note: A field layout decides which fields appear on the form.  It does not decide who can see the information: a hidden field still appears in lists, the Data Analytics Tool, exports and reports for anyone whose roles allow it.

Note: A form appears in the Form list once someone at the school has opened it in Campus.
