Transcript Totals Line

Posted October 19, 2026

Transcript Totals Line is a transcript request option that sets what the graduation requirements footer prints: the sum of the requirement rows, or the numbers of one chosen requirement such as Total Credits. The option is labeled Totals Line on the request of each transcript that prints graduation requirements: Transcript - Final, Transcript - Semester - S1/S2, Transcript - S1/S2/Final, Transcript - Trimester - T1/T2/T3, and Transcript - T1/T2/T3/Final. It works with Show Graduation Requirement Plan, which selects the plan the transcript prints.

Sum of requirements is the default. The footer adds up the numbers of every requirement row on the plan.

Requirement name entries follow, one for each graduation requirement name in the school, listed once even when several graduation plans use that requirement. When one is chosen, the transcript uses the requirement with that name on the plan selected in Show Graduation Requirement Plan: the footer prints that requirement's name and numbers in place of the summed totals, and the requirement does not print again as a row. When the selected plan has no requirement with that name, the footer prints the sum of requirements.

Why choose a requirement: the summed footer adds each row on its own. A course that two requirements count is added twice, and extra credit on one row does not cover a shortfall on another. On Transcript - Final, the only transcript that prints credits remaining, the summed footer can show credits remaining for a student who already has more than the diploma total. The other four transcripts print Earned, In Progress, and Required. A Total Credits requirement counts each course once against the diploma total, so the footer shows where the student stands overall. Example: A student who needs 24 credits has earned 25.5, with 4 extra credits in Math, 0.5 still needed in Theology, and 2 still needed in Electives. On Transcript - Final, the summed footer shows 2.5 credits remaining, while a Total Credits requirement shows 25.5 of 24.

Setting up Total Credits

- Create a course requirement with the Prerequisite criterion and Course Type set to (Any course type). It matches every mark, including marks that have no course type and level. Add a grade condition when failing marks must not count. Review Creating Course Requirement.
- On Administrator > Maintenance > Graduation Requirements, add it to the plan with the diploma total, such as 24, as the Required Number of Credits. Do not give it credit links.
- When requesting the transcript, select the plan in Show Graduation Requirement Plan and the Total Credits requirement in Totals Line.

Note: When a plan includes a Total Credits requirement and Totals Line is left at Sum of requirements, the Total Credits requirement prints as an ordinary row and its credits are also added into the footer. Choose it as the Totals Line.

Note: Transcript - Semester - S1/S2 prints graduation requirements whenever a plan is selected in Show Graduation Requirement Plan, the same as the other four transcripts. When the school preference Show Grad Req Move to Elective is turned on, S1/S2 prints the Move to Elective version of the requirements for a plan without credit links. Review Graduation Requirement Credit Counting.
