Creating Household

To create a new household in Campus, go to Administrator > Households, click New above the list, fill in the household's address information, and click Save. Then open the Contact 1 and Contact 2 tabs to enter the parents or guardians, and link the household to a student. If you are starting from a student, open the student from Administrator > Students, go to Details > Households, and click New instead: Campus creates the household, links it to that student as a Parent household, and opens Household Details for you to complete. Admissions staff can do the same from Admissions > Households or from an inquiry's Households tab.

A household is the family record in Campus. It holds the shared address, email, and phone, plus up to two people, Contact 1 and Contact 2. The same record is what Development shows as a contact and Finance shows as a customer or vendor, so create it once and link it wherever it is needed. See Household List and Contact.

Before you start

  • Roles. Administrator > Households is available to Admin Full, Admin Read, Registrar Full, and Registrar Read. To save a household there you need Admin Full or Registrar Full. In Admissions > Households, you need Admissions Full to save (Admissions Read can view). Read-only roles cannot save.
  • Linking from a student or inquiry. The New and Link Household links on a student's or inquiry's Households tab appear only for users with Admin Full, Admissions Full, or Registrar Full.
  • Check for an existing household first. Search Administrator > Households for the family, and tick both include all and all divisions so households of every student status and division are included. Creating a second household for the same family produces a duplicate that has to be merged later.
  • Staff households are created from the staff record instead. See Staff Household.

Create a household from the Households list

  • Navigate to Administrator > Households (or Admissions > Households).
  • Click New, next to the Export button above the list. The Household Details page opens with an empty Address Information section.
  • Enter the household information. The fields are:
    • Name (the household name, for example "Sample Family")
    • Email (the household email)
    • Addressee and Addressee2 (how mail is addressed, for example "Mr. and Mrs. Avery Sample")
    • Salutation and Alternate Salutation (for example "Dear Avery and Morgan")
    • Address Line 1, Address Line 2, Address Line 3, City, State, Zip / Postal Code, County, Country
    • Phone (the household phone)
    • Alternate Household Id (optional; typically used for imports or syncing with other systems)
    • Publish on online directory, Hide address on directory, Send Mail, and Safe Party check boxes

    Campus does not require any of these fields to save the household. Fill in what your school relies on for mailings and the directory.
  • Click Save. Campus creates the household, shows its household ID next to Address Information, and keeps you on Household Details for the new record.
  • Open the Contact 1 tab and enter the first parent or guardian: First Name, Last Name, and any other details your school records (such as Type, Title, Gender, and Preferred Name), plus their email addresses under Emails and phone numbers under Phones. Click Save. If this parent will need a Parent Portal login, make sure they have an email address.
  • If there is a second parent or guardian, open the Contact 2 tab, enter their information the same way, and click Save.
  • Link the household to the student (see the next section). Until it is linked to an Enrolled student, the household appears in Administrator > Households only when both include all and all divisions are ticked.

Create a household directly from a student or inquiry

Use this when the household belongs to a student who is already in Campus. It saves the linking step.

  • Open the student: Administrator > Students, open the student, then Details > Households. For an admissions inquiry or applicant, use Admissions > Inquiries/Applicants, open the inquiry, then Details > Households.
  • Click New in the Households header (next to Link Household).
  • Campus immediately creates an empty household, links it to the student or inquiry with the relationship Parent, and opens Household Details.
    • If the student has no primary household yet, the new household becomes the primary household.
    • If the student has no billing household yet, the new household becomes the billing household.
    • Custody is set to custodial, and for students the household is marked OK to pick up.
  • Complete the address fields and click Save, then fill in Contact 1 and Contact 2 as described above.
  • Return to the student's Households tab to adjust the link if needed, using Mark Primary, Mark Billing, Mark Grandparent, Mark Custody / Mark NO Custody, or Mark Ok To Pickup / Mark NO Pickup.

To attach a household that already exists instead, click Link Household on the same tab and search for it.

What to do next

Troubleshooting and FAQ

There is no Save button on Household Details. Your user has read-only access (for example Admin Read or Registrar Read). Saving a household requires Admin Full or Registrar Full in Administrator > Households, or Admissions Full in Admissions > Households. Ask a user with the Security Full role to review your roles.

I saved the household but cannot find it in Administrator > Households. By default the list shows only households linked to a student who is Enrolled in the selected division and school year. Tick include all and all divisions to see every household, including ones not yet linked to a student. See Households by Division.

I do not see New or Link Household on the student's Households tab. Those links require Admin Full, Admissions Full, or Registrar Full.

The student's Households tab says "This student has no primary households attached" or "This student has no billing households attached." Click Mark Primary or Mark Billing on the household that should hold that role. A student should have exactly one primary and one billing household; the tab also warns when there are too many.

I created a duplicate household by mistake. Combine the two records with the Merge Household Multi-action. The Duplicates link above the Administrator household list shows potential duplicates: households that share an address and zip code and have a matching parent name.

Parents are separating and need two households. Do not create a second household by hand. Use Split/Switch on the existing household. See Split Parents.

Is a household the same as a contact or customer? Yes. Households, contacts, customers, and vendors are the same records, viewed from different modules. See Household List.
