Journal Entry List

A Journal Entry List is the Record List of journal entry records. It is available at Finance > Ledger > Journal Entries. You need the FinanceGL Full or FinanceGL Read role.

The list shows the journal entries of the ledger selected at the top of the Finance module, newest Date first. By default the list shows the journal entries whose Date falls inside an open fiscal year, on or after that year's open period date, including voided entries. The include all checkbox adds the rest, which are the entries dated in a closed fiscal year, before the open period date, or outside any fiscal year, and the template entries, which have no Date.

Column explanations:

Date is the Journal Entry Date entered on the journal entry. It is the date the entry reaches the general ledger, and it also determines which fiscal year the entry falls in. It is blank on a template entry, which is saved with Template Only selected so that it can be copied into new entries.

Debit and Credit add up the debit lines and the credit lines of the journal entry. They can differ, because an entry can be saved without balancing, but they must match before the entry can be posted.

Posted is checked once the journal entry has been posted to the general ledger.

Voided is checked when the journal entry has been voided.

Id is the system identifier assigned to the journal entry.

Copy creates a new, unposted journal entry with the same memo, note, and lines, and opens its Details page. The copy keeps the original's Date, and a copy of a template entry is given today's date. Copy appears only for users with the FinanceGL Full role.

Search fields worth knowing:

Date searches the Date column.

Is Template searches with Yes or No. Template entries have no Date, so check include all to find them.

Modified Date and Modified Name find the journal entries last changed on a date or by a user.

Posted and Voided search with Yes or No.

Posted Date searches the date the journal entry was posted, which can differ from its Date.

Voided Date searches the date the journal entry was voided.
