Transaction List

Posted August 18, 2026
A Transaction List is the Record List of general ledger transaction records.  It is available in these modules:
- Finance > Ledger > Transactions.  You need the FinanceGL Full or FinanceGL Read role.
- Finance > Manager General Ledger.  You need the FinanceAccountMgr Full or FinanceAccountMgr Read role.

Each transaction is one debit or credit to one account, created when a record is posted to the general ledger.  Posting a journal entry, for example, creates one transaction for each of its lines.

The list shows the transactions of the ledger selected at the top of the Finance module, newest Date first.  At Finance > Ledger > Transactions it includes the Summarize transactions created when a fiscal year is closed.  At Finance > Manager General Ledger, the list shows only the transactions of the accounts you manage as a budget manager, together with the accounts beneath them through Budget Parent Account, and it leaves out the Summarize transactions.

Next to the letter buttons above the search fields, this list has the following dropdowns:
- When account number sections are set up, as described in GL Account Mapping, two dropdowns narrow the list by account number.  The first lists the sections of the account number, such as Department.  The second lists the descriptions entered for that section's codes.  Choosing a description shows only the transactions of the accounts whose number has that code in that section.  Leaving the second dropdown blank shows every account.
- The fiscal year dropdown lists the fiscal years by name, with All at the top.  Choosing a fiscal year shows only the transactions that fall in it.  All shows the transactions of every fiscal year, open or closed.  At Finance > Ledger > Transactions it starts on All.  At Finance > Manager General Ledger it starts on the current fiscal year.

Column explanations:

Transaction Id is the system identifier assigned to the transaction.  It opens the record that created the transaction when you have the role for that record's module.  Summarize transactions have negative Transaction Ids.

Number is the account number.

Fiscal Year is the fiscal year the transaction falls in.

Date is the date the transaction reaches the general ledger, taken from the record that created it, such as a journal entry's Date or a deposit's Date.  Summarize transactions are dated on the last day of the fiscal year.

Registry Description describes the posting the transaction belongs to, such as Post Journal Entry.  Every transaction created by one posting shares the same Registry Description, Posted Modified Date, Transaction Register Id, and Audit #.

Posted Modified Date is the date the posting happened, which can differ from Date.

Transaction Register Id is the system identifier assigned to the posting.

Audit # numbers the postings of the ledger in the order they happened, starting at 1.  Summarize postings do not have one.

Customer / Vendor is the customer or vendor on the invoice, receipt, payment, or purchase order that created the transaction, followed by its system identifier in parentheses.

Product is the product on the invoice line that created the transaction.

Deposit is the description of the deposit, for the transactions of a deposit and of the receipts on it.

Type is the kind of record that created the transaction, such as Journal Item, Customer Invoice Item, Customer Receipt, Customer Credit, Vendor Invoice Item, Vendor Payment, or Deposit.

Note is the memo or note of the record that created the transaction: the journal entry line's memo, the invoice line's note, the Customer Memo of an AR invoice, the Vendor Memo of an AP invoice, the receipt's or payment's memo, or the deposit's description.

Below the list, Total Credit Amount and Total Debit Amount add up the credits and the debits.  They cover every transaction the search returns, not only the transactions on the page you are looking at.

Search fields worth knowing:

Account Category finds the transactions of the accounts in an account category.

Account Number matches the account number with or without its separators, so 1000-100 and 1000100 find the same account.

Customer Id and Customer Name find the transactions of a customer's AR invoices and receipts.

Deposit Date, Deposit Description, and Deposit Id find the transactions of a deposit by its date, its description, and its system identifier.

Fiscal Year and Fiscal Year Int search the Fiscal Year column, by the fiscal year's name and by its number.

Product Id and Product Name search the Product column.

Transaction Register Id finds every transaction created by one posting.

Vendor Id and Vendor Name find the transactions of a vendor's AP invoices, payments, and purchase orders.
