Health office visits in PCR Educator Campus can now email a student's parents the moment the school nurse records a check-out time, using a notification trigger the school configures once. Every parent or guardian in the household with a portal login receives the message, so families hear from the health office the same hour their child is seen.

What can schools do with Health Visit Parent Contact?

Reach the household the moment a visit closes. The email goes out as the nurse saves the visit with a Time Out value, from the health visit page or the visit edit window. It carries the school's own wording, drawn from a Health Visit email template.

Write the message the health office wants to send. The template is built from the Health Visits list with the Email Merge multi-action, so the nurse's own language, the school logo, and the visit details all sit where the school puts them.

Give each parent one message per visit. Each parent receives a single email for a visit. A later correction to the visit, including the check-out time, leaves that count at one.

Choose who receives it. Require Opt In governs whether every parent is included or only those who have opted in on their notification preferences.

Questions schools ask

Do families need a portal login to receive it? Yes. The email is addressed to the parent and guardian logins on the student's household, so activating the portal is what brings a family into the send.

Does correcting a visit send another email? No. Each parent receives one email per visit, and later edits to that visit leave it at one.

Where does the wording come from? From a Health Visit email template the school writes and selects on the trigger.
