An Application Form Invitation is the record that offers one Application Form to one student. The invitation carries the invitation type, the proration, and one endorsement per paying household of the student. Each endorsement holds the household's frozen split percentage, its signatures, and its snapshot of the form. The page is found under Admin > Applications > Application Forms > Invitations and requires the Website Full role.
Most invitations are created automatically from the invitation type filter, as described in Application Form Invitation Type. The Add Invitation section creates one by hand.
Each household's share comes from the student's household billing split for the form's Split Billing Category (Finance > Splits), whether the invitation is created automatically or added with Add Invitation. A household with a share above 0 receives an endorsement for that share, a household at 0 receives none, and the billing household takes whatever the shares leave. A student with no split in that category receives one endorsement, for the billing household at 100 percent. An invitation for an accepted applicant uses the split on the applicant's Households tab, and the split goes to the student when the applicant is enrolled. The shares are frozen on the invitation when it is created; a later change to the split does not change it. Review Household Billing Split.
An invitation can also offer the form to an accepted applicant, an inquiry the school has marked ready for the agreement. These invitations are created automatically from an invitation type that invites Inquiries, and the list shows the applicant's name, current grade, and grade applied for. When the parent clicks Start, the applicant becomes a Pre-Enrolled student and the applicant's invitation is replaced by the new student's invitation; review Application Form Invitation Type. Add Invitation adds students only.
Student Selector finds the student. Only students with an Enrolled status are listed.
Invitation Type is the invitation type of this form the student is invited under.
Proration % is the percentage of every prorated product charged to this student. It defaults to 100.
Once a student is selected, the household grid previews the endorsements that will be created, with the columns Name, Relationship, Contacts, Primary/Billing, and Split % (from Splits). The split percentages are pulled from Finance > Splits for the form's Split Billing Category and are frozen on Save. Edit the Splits page to change these values for future invitations. When the percentages of the student's households do not total 100 percent for the form's Split Billing Category, the invitation cannot be saved until the Splits page is corrected.
Save creates the invitation and its endorsements.
The list below shows every invitation of the form with the columns First, Last, Type, Grade, Grade NY, Proration %, and Status. The status is Incomplete until every required signature has been collected, then Complete. It is Unavailable when a parent has declined the invitation from the portal; review CMS Widget - Application Invitations.
The edit icon opens the invitation. The Proration % becomes editable and one row per household shows Name, Relationship, Contacts, Primary/Billing, Household Id, Split % (frozen), and Snapshot. Each contact under Contacts shows the name, the email address, and the sign status: Signed with the date and time, or Pending.
Send Invitation, next to a contact, sends (or resends) the signing link email to that contact. A new single-use link is generated and any prior unused link stops working. The email uses the correspondence template named Application Form - Secondary Signer Invitation. Review Application Form Signing.
Reset Snapshot erases the household's saved form snapshot. The resolved prices, text, and selections are discarded and materialized again at the current admin values the next time the family opens the form. Use it after a product, an override, or the text of a widget has been corrected for a family that has already started the form. Note: A reset also discards the selections the family has made so far on that endorsement.
Save stores the edited proration. Delete removes the invitation and its endorsements.
Note: An invitation is only visible to a parent whose portal login belongs to one of the student's households with an endorsement. A parent who sees the student but no Start button has no endorsement. Check the household's share on the student's Splits tab for the form's Split Billing Category, and that the student has a billing household, then delete the invitation and add it again.
Note: Reset Contract on an accepted applicant's declined invitation returns it to Not started, removes the inquiry action the decline recorded, and recalculates the applicant's status.
Note: On a form with an office countersign, Reset Contract also undoes the countersign: it removes the countersign action recorded from Campus and the countersigned copies of the contract, and keeps a countersign action entered by hand on the student. Review Application Form Countersigning.
