Student List

A Student List is the Record List of student records. It is available in these modules:

- Admin > Students. You need the Admin Full, Admin Read, Registrar Full, or Registrar Read role.
- Admissions > Students. You need the Admissions Full or Admissions Read role.
- Development > Students. You need the Admin Full or Admin Read role.
- Finance > AR > Students. You need the FinanceAR Full or FinanceAR Read role.
- Financial Aid > Students. You need the FinancialAid Full or FinancialAid Read role.
- Health > Students. You need the Health Full or Health Read role.
- Scheduling > Students. You need the Scheduling Full or Scheduling Read role.

Note: Security > Students lists student users rather than student records. See User for user records.

include all and all divisions work the same way in every module. By default the list shows students with a Status of Enrolled who belong to the selected school division. include all adds the students of any status who belong to the division. all divisions adds the enrolled students of every division. With both checked, every student is listed. When Next Year is selected on the home page, the Scheduling list applies the same rules to next year's status and divisions. See Student by Division for the rules that decide which division a student belongs to. Note: A school can have include all checked by default with the Student Include All setting in School Info.

Column explanations:

Pref. Name is the preferred name recorded on the student. Pref. Name Auto shows the preferred name when one is recorded and the first name otherwise, so it always has a value.

Gr NY, Advisor NY, Homeroom NY, Status NY, and SubStatus NY are the next year values of Grade, Advisor, Homeroom, Status, and SubStatus.

D/B is Day or Boarding.

Fin Aid indicates that the student is interested in receiving financial aid. It does not mean that aid has been awarded. Awarded and Accepted show the financial aid amounts and are available in the Financial Aid module.

Balance shows the student's customer balance and is available with the FinanceAR Full or FinanceAR Read role. Click the Balance heading to set the From Date, To Date, and Include Unposted options used to calculate it. By default the balance includes everything through today. Note: The dates are not retained. Each time you return to the list, set them again if you want something other than the default. Note: In the Finance module an icon next to a student shows that the student has no billing address.

Flags shows the flag attributes applied to the student. See Configuring Flags.

Search fields worth knowing:

Grade (Integer) and Grade NY (Integer) search on the integer equivalent defined for each grade level, so that grade levels can be compared with >= and <=. This is mostly useful for preschools and other schools whose grade levels are letters rather than numbers. Grade and Grade NY search the grade level names as text.

Status NY and SubStatus NY search next year's status and substatus, which is useful during re-enrollment. See Status/Substatus Calculation - Student.

Attribute Current, Attribute Category Current, Attribute Ever, and Attribute Category Ever are described in Searching by Attribute.

Parent Names finds a student by searching the names of the contacts in all of the student's households, including secondary households, along with the household name. Names are matched as Last Name, First Name.

Student Balance searches on the customer balance using the From Date, To Date, and Include Unposted settings of the Balance column.
