Application Form Details

Posted September 05, 2026

Application Form Details are the settings of one Application Form: its name, academic year, ledger, and the billing and signature rules that apply to every invitation created from it. The page is found under Admin > Applications > Application Forms > Details and requires the Website Full role.

Name is the title of the form. It is shown on the Application Form List, in the header of every Application Form page, and as the title of the CMS container.

Academic Year is the school year the form belongs to, chosen from the five previous years, the current year, and the next year. The year is used to select the student's next year grade level and status in filters and to label the form.

End Date is the last day the form is open. While the End Date has not passed, the form automatically creates invitations for students who qualify for an invitation type filter whenever a parent opens the invitation page. After the End Date, existing invitations remain available but no new ones are created. A form with no End Date creates no invitations. Review Application Form Invitation.

Ledger is the Finance ledger the form posts to. The products, invoice groups, and invoice templates offered on the widgets of this form come from this ledger.

Proration % is the default proration applied to invitations that the form creates automatically. A value of 100 charges the full price; a lower value reduces every prorated product on the form by the same percentage. Invitations added by hand have their own Proration %.

Contact Email is the email address of the school contact for this form.

Split Billing Category is the billing category whose household split percentages are used when the student's charges are divided between households. When an invitation is created, automatically or with Add Invitation, the per-household split for this category is pulled from Finance > Splits and frozen on the invitation; review Application Form Invitation. Leave it at (None) when the billing household pays 100 percent. Review Application Form Billing.

No-invitation redirect page is the CMS Page a parent is sent to when they reach a form page without first clicking Start on the invitation page, for example from a bookmark. When it is left at (None), the request is logged and an empty page is rendered. Set this to the page that holds the CMS Widget - Application Invitations widget.

Itemise aid on bill determines how financial aid appears on the family's bill. When checked, the bill shows the gross charge and a separate aid credit row per parent per category. When unchecked, the bill shows one net charge, which is the gross charge minus the aid.

Bill on first signature determines how many signatures each household must provide before the form is finalized and billed. Leave it unchecked, which is the default, so that billing waits until every signature the household requires has been collected. Check it only if one signature is enough for the school's agreement; the second parent is then never asked to sign and is not bound by the agreement. Review Application Form Signing.

Second-signer detection filter is a Saved Filter that decides whether a household needs a second signature. It is only consulted when Bill on first signature is unchecked. When the filter passes for the household, a co-signature is required. When the filter fails, the household is treated as a single-parent household and the first signature finalizes the form. When no filter is chosen, the household's own parent record decides: a named second parent on the household requires a co-signature. Note: Write the filter against a second parent on the household, not against a secondary household in a split family. A second parent who has no portal login yet still counts, so a missing login can never turn a two-signature agreement into a one-signature agreement.

First signer household applies to split-household agreements only and decides which household must sign first. The other households are unlocked when the designated household has fully signed. The options are (None - sequence by endorsement creation order), Bill To household, and Primary household. Bill To is the household flagged as the bill-to household on the student's record, and Primary is the household with the primary indicator.

Signed (PDF) Action Type is the student action recorded when the invitation is complete, that is, when every required signature of every household has been collected. Choose the action whose status modifier moves the student, for example Registered 27/28 for Enrolled. The action is dated the day of the signature that completed the invitation and filed under the form's Academic Year. While the student has this action type for the year, the completion settings do not run again. The signed contract PDF of each household is attached to this action, so it is listed on the student's Actions tab. Leave it at (None) to record no action; the signed PDF is then kept with the invitation only.

On completion: profile by student status is a list of rules that choose the enrollment profile applied to the student when the invitation is complete, from the student's status and substatus for the form's Academic Year. For example, Pre-Enrolled applies Enroll New Student, and Enrolled with substatus Contract Pending applies Enroll Returning Student. The rules are read from the top, and the first rule that matches decides the profile. A status or substatus left at (Any) matches every value, so a rule with (Any status) and (Any substatus) at the bottom of the list covers every other student. A student no rule matches receives no profile, and the Signed (PDF) Action Type is still recorded. Use Add rule to add a rule, Up and Down to change the order, and Remove to delete a rule. Changes to the rules are saved immediately, without Save. Note: The completion settings apply to student invitations only.

On decline: enrollment profile is the enrollment profile applied to the student when a parent declines the invitation from the CMS Widget - Application Invitations widget. The profile's action types are recorded and the student's status is recalculated, as when enrolling from Campus. Leave it at (None) to apply no profile.

On decline: action type is the student action recorded when a parent declines, in addition to the profile's own actions. The action is dated the day of the decline and filed under the form's Academic Year, and it is not recorded again when the student already has that action type for the year. Leave it at (None) to record no action. Note: Both settings apply to student invitations only, and the Decline button appears only when Decline Button Text is set on the widget. Reset Contract reopens a declined invitation, removes the student actions the decline recorded, and recalculates the student's status.

On decline (accepted applicant): inquiry action is the inquiry action recorded when a parent declines an accepted applicant's invitation, for example Declined Offer. An accepted applicant is an inquiry the school has marked ready for the agreement but has not yet enrolled; review Application Form Invitation Type. The action is dated the day of the decline and filed under the form's Academic Year, it is not recorded again when the applicant already has that action type for the year, and the applicant's status is recalculated. Reset Contract removes the action and recalculates the status again. Leave it at (None) and the decline only closes the invitation.

Accepted applicants: pre-enroll profile is the enrollment profile applied when a parent clicks Start on an accepted applicant's invitation. In that one click the applicant becomes a Pre-Enrolled student, the form's student invitation type invites the new student, and the parent continues into the student's agreement. The student is enrolled in the first of the applicant's divisions that has Applicant status for the form's Academic Year, belongs to the profile, and has an admissions year equal to the form's Academic Year or the following year. When no division qualifies, the parent sees a message, nothing is enrolled, and the school is notified. Leave it at (None) when the form has no invitation type for inquiries. Note: The form also needs a student invitation type whose filters match Pre-Enrolled students; review Application Form Invitation Type.

Office countersign: action type is the student action recorded when the school countersigns a household's signed contract in Campus, on Finance > Application Forms > Student Application Forms. Choosing it turns on the countersign for the form: the contract PDF shows a school signature block after the parents' signatures, and users with the Contract Full role can countersign each household once the invitation is Complete. It must differ from the Signed (PDF) Action Type and the On decline: action type. Leave it at (None: no office countersign) when the school does not countersign. Review Application Form Countersigning.

Office countersign: signer name is printed under the school's signature, for example the Head of School's name, and is required when an action type is chosen. Office countersign: signer title (optional) is printed under the name; when it is blank, School Representative is printed. Office countersign: disclosure (optional) is a paragraph of up to 2,000 characters printed above the school's signature block.

Office countersign: signature image is the school's signature, a PNG or JPG file of 1 MB at most, printed when the office countersigns. Upload image and Remove image save the change immediately, without Save. Upload the image before choosing the action type; without an image, the office cannot countersign.

Save stores the settings and returns to the Details page.

Override summary across this form lists, below the settings, every filter combination that has overrides on this form, with the number of widgets and override rows for each. A combination that no longer exists in the school's filters is shown in red as an orphan. Review Application Form Overrides.

Note: The number of signatures a household needs is frozen on the household's endorsement the first time it is resolved. A later change to Bill on first signature or to the detection filter affects only endorsements that have not yet been resolved.
