Application Form Overrides

Posted September 26, 2026

Application Form Overrides are per-applicant variations of a widget's Application Form properties, such as a different product, price, text, or pre-selection for applicants who match a filter combination. An override lets one form serve every student while the tuition product changes by grade level, the boarding fee applies only to boarding students, or a discount applies only to faculty children. The page is found under Admin > Applications > Application Forms > Overrides and requires the Website Full role.

Overrides are keyed by filter combinations. A filter combination is a set of Saved Filters grouped by filter component, such as a grade level component and a day or boarding component; review Filter Combination. Each widget declares which components may vary its values through its Override Scope setting; review Application Form Widget Properties.

Form page selects the page of the form whose widgets are shown. The list contains every page the family fills in; the signing page is not listed.

Suppress empty determines which properties are listed for each widget. Yes - specified values only, the default, lists only properties that hold a value. No - show every property lists every Application Form property of the widget, including empty ones.

Each widget on the selected page is shown as a card with its name and type and the following sections.

Edit settings opens the widget's full properties window in a new tab, where the General tab and the Override Scope are edited.

Preview shows the widget as the family sees it with its base values.

Base properties, headed Application Form Properties, lists the widget's Product, Invoice Group, Invoice Template, Is Selected, and, where applicable, Amount Basis, each with its own editor. These values apply to every applicant who does not match an override. A widget with no priced properties shows the text This widget has no application-form properties. When the widget has no Override Scope, the card explains that the values apply to every applicant and that an Override Scope must be picked and saved before overrides can be authored.

Overrides holds the Add Override builder and the override matrix.

To add an override:

- In the Add Override builder, check one or more Saved Filters for at least one of the scope components. Several filters checked in one component match an applicant who passes any of them. A component with nothing checked is omitted from the combination.
- Under Properties to override, check the properties that should differ for that combination.
- Click Add. The combination with exactly those filters is found or created and a new row appears in the matrix with the chosen properties ready to edit.
- Enter the override values and click Save all overrides at the bottom of the page.

The override matrix shows one card per filter combination. Each card lists the overridden properties with their values. The Product, Invoice Group, and Invoice Template lists of an override offer the entries of the form's ledger; a value saved from another ledger still shows, with its ledger name in the label. Delete row removes every override of the widget for that combination. A combination whose filters no longer exist in the school's filters is flagged as an orphan; its override rows cannot match any applicant and can be removed with Delete orphan row.

Save all overrides saves every widget on the page at once and reports how many widgets were saved. A widget whose values cannot be saved is named at the top of the page, its reason is shown in red on its card, and the values entered on that card are kept so they can be corrected and saved again. The other widgets are saved.

Overrides must not overlap. Each applicant may match at most one override combination for each property of a widget. When two combinations of the same widget override the same property and could both match one applicant, for example Grade Level: Grades 9-12 and Financial Aid: Receives Financial Aid, the widget is not saved and its card names the two combinations. Make the combinations disagree on a component, for example Residency: Day and Residency: Boarding, or remove one of the overrides.

Check for overlaps, at the bottom of the page, runs every person invited to the form through every override on every page of the form and lists each one who matches more than one override for the same property, with the widget and property and the conflicting combinations. A student listed there cannot start the form: the family sees "This form isn't ready for your student yet. The school has been notified." and the school is notified. Correct the overrides or the student's records, then run the check again. When the form has no invitations yet, the check reports that there is no one to check.

Note: A priced override must be complete. When a product is overridden, the override also needs an Invoice Group and an Invoice Template, otherwise the page reports the missing values and does not save.

Note: Overrides are resolved when a family starts the form. The applicant is matched against every combination of the widget's scope, and the matching values are copied into the applicant's frozen snapshot. Overrides added or changed later apply to applicants who have not yet started the form. For an applicant who has already started, use Application Form Student Overrides or the Reset Snapshot button described in Application Form Invitation.

Note: The Application Form Details page shows a summary of every combination used on the form with the number of widgets and rows, which is the quickest way to find orphan combinations after filters have been renamed or deleted.
